Download the official release preparation resource for accepted YHV artists. This resource explains the basic release preparation process, required files, metadata, communication flow, and how to support your upcoming release with YHV Music Group labels.

YHV Artist Access

Release preparation resource for artists whose music has been accepted for release under YHV Music Group labels. Please read this page carefully and prepare all required materials as early as possible to keep the release process smooth.

What Happens After Your Track Is Approved

Once your track, EP, or album has been approved for release, the process normally moves through the steps below. Due to the high volume of releases in the queue and our commitment to giving each release focused preparation, it may take approximately two to four months for your release to be launched.

The final release schedule is decided by YHV.

Final files You send the required final audio files by download link.
Audio check YHV checks the audio quality and confirms the next steps.
Contract A contract is sent digitally by private link for review and signature.
Information You send metadata, artist information, photos, and profile links.
Preparation YHV prepares the final master, artwork, metadata, and promotional materials.
Scheduling The release is scheduled into the future release queue.
Delivery The release is submitted to the distributor around six weeks before release day.
Release Pre-order, promo activity, feature requests, and official release follow the confirmed timeline.

Contract Signing

After your release is approved and your files are received, we will send the contract through a private digital signing link. Please read the contract carefully and make sure you fully understand your rights before signing.

The contract link is available for one week. If the contract is not signed within this period, we will assume that the release is canceled. The contract link may expire, and your release slot may no longer be available.

If more than one artist is involved, please provide the name and email address of each person who needs to receive and sign the contract.

Audio Files Required

Please send your final audio files through one organized download link.

Required

  • WAV premaster/master or clean mixdown
  • WAV master if available, for reference
  • 24-bit WAV
  • 44.1kHz
  • Around -6dB headroom for the premaster/master
  • No limiter on the premaster/master
  • Clean mixdown with no distortion, clicks, or technical issues
  • Extended mix or original mix with long intro and outro

Not required

  • Stems
  • Project files
  • Radio edit is optional
YHV will handle the final mastering when needed. If your master already meets our professional and technical release standards, we may use your supplied master as the final version. Mastering by YHV is provided free of charge and is not recouped from your royalties.

Please make sure all samples used in your track are properly cleared before release.

Metadata Required

Please send complete and accurate metadata for all artists involved. Correct spelling and capitalization are important because metadata is delivered to stores and streaming platforms.

Artist name, written with correct spelling and capitalization
Track title, written with correct spelling and capitalization
Version name if applicable
Real legal name of each artist involved
Composer and writer names
Featured artist name if applicable
Remixer name if applicable
BPM
Genre
Spotify artist profile link if available
Apple Music artist profile link if available
Instagram link
Short artist biography
Artist press photo
Publisher, PRO, or IPI information if available
Please make sure all information is correct before the release goes live. Once a release is live, some information may be difficult or impossible to change.

Artist Biography and Track Description

Please provide a short artist biography and a brief description of the track, EP, or album.

Your biography should be simple, professional, and useful for promotional purposes. Your release description should explain the sound, mood, genre direction, and identity of the release.

Avoid sending extremely long text. Keep it clear and focused.

Artwork and Promotional Materials

YHV usually creates the release artwork and promotional materials.

Artists may provide photos where useful, but the final artwork decision is made by YHV.

YHV will prepare promotional materials closer to the release campaign period.

Release Timeline

YHV releases are scheduled carefully in advance. In most cases, releases are submitted to the distributor around six weeks before the official release date.

6 weeks before Release is submitted to the distributor and prepared for store delivery.
4 weeks before Traxsource pre-order exclusive may begin where applicable.
2 weeks before Beatport pre-order may be activated, with additional promo activity where applicable.
Release day Official release on all confirmed stores and streaming platforms.
Feature requests and store pitching may include Beatport Hype and Traxsource feature request preparation where applicable. Final store placement, features, charts, playlisting, and promotional results are never guaranteed.

Communication Guidelines

To keep the release process clean and organized, please follow these guidelines.

Use email for release communication
Keep your messages clear and focused
Send all files in one organized folder or download link
Do not send multiple unfinished updates
Do not request major changes too close to the release date
Allow approximately 3 to 7 business days for response when needed
Make sure all artists involved are aligned before submitting final information

The final release schedule, artwork direction, mastering decision, and promotional timing are handled by YHV.

How To Support Your Release

Artists are encouraged to support their release actively.

Share the release announcement
Post your own preview before release day
Tag YHV Records in your posts
Share the official release link on release day
Send any confirmed DJ support to the team
Keep your artist profiles updated
Use the official artwork and promo materials provided by YHV

During the release week, YHV may invite you as an Instagram collaborator for selected posts. If you post your own preview or announcement, the YHV team may repost it where suitable.

Royalty Statements and Reports

As outlined in your contract, royalty statements are sent by email when your balance reaches $100 or more across releases under YHV Music Group.

If your balance has not reached the $100 threshold, no royalty statement or payout notification will be sent for that period. The balance will continue to accumulate until it reaches the required payout threshold.

Please make sure all required materials are submitted on time. Missing or late materials may delay the release schedule.
